The register covers basic data, technical parameters, supplied documentation, repair history and modification history; files are kept one file per machine and retrieved by scanning a code — handovers no longer rely on the old hands' memory.

How registers and inspection standards are built

Equipment inventory and coding: every machine in the plant is inventoried: name, model, location, commissioning date, manufacturer, main parameters. A single coding rule applies - one number per machine - and all later repairs, spares and file material hang off that number.

One file per machine: a file is opened for each machine: nameplate data and accompanying documents, acceptance data, repair and modification records, replacement parts records, accuracy baseline. Paper or electronic both work - what matters is that it is updated as things happen and can be found.

Reverse-engineering documentation for machines without drawings: where drawings for old equipment are missing, we survey the electrical circuits on site, verify components and terminals, and fill in the mechanical reference data (clearances, fits, travels), filing the survey results. This step doubles as an in-depth health check.

The five elements of an inspection standard: every inspection item states the location, method, acceptance criterion, frequency and responsible person. The criterion must be executable: a temperature limit, an oil level band, a permissible clearance, a condition description - 'check that it is normal' has no place, because it cannot be judged.

Setting frequency by classification: equipment is graded A/B/C by the impact of a stoppage and its importance: Class A gets more frequent inspection and first call on maintenance resources, Class C is pared back to the critical items. Frequency follows the duty, not a guess off the calendar.

Preparing registers for digitisation: even at the spreadsheet stage we standardise the data fields first, so a future system can import them directly. For plants with several hundred machines or multiple sites we recommend planning for equipment management software, and we assist with selection and data migration.

Common Questions

How long does it take to build registers for three hundred machines?

We have delivered one-file-per-machine for 300 units in 90 days: about two weeks for inventory and coding, files and survey work running in parallel, and inspection standards issued in batches by classification. Scale determines duration, and milestones are listed in the plan. The key is not to chase perfection in one step - get the skeleton standing, and let the data build up as the service continues.

What if nobody updates the registers once they are built?

Register updating must be hooked into the process rather than left to goodwill: the repair completion form carries a file-update item, acceptance sign-off checks that the records went in, and lubrication cards are filed with the job sheet on completion. Only by making the update a mandatory step in the process will the register survive. That is also why we design our forms to be as easy to fill in as possible.
